This Privacy Policy applies to the RPG Army Bot ("the Bot"), a Discord application
developed and operated by the RPG Army community. The Bot is used exclusively to
support the administration and moderation of the RPG Army Discord server.

2. What Data We Collect
The Bot collects and processes the following categories of data:
User data (stored persistently):
Discord User ID
Discord username and avatar (public CDN link) at the time of a moderation action or staff lookup
Moderation history: warnings, mutes, kicks, bans — including rule ID, description, timestamp, and responsible moderator
RPG quest statistics (total quests, flame counts, chance history) linked to your User ID
Pruning records: whether a user was kicked or banned via the automated pruning system, and the date
Message content (processed in real time, not stored in our database):
Message text is temporarily read to detect forbidden words (AutoMute), verify counting channel input, detect cheater messages, and enforce the Kalti game channel rules
Message content is never written to our database or to a separate log file
Exception: if a message triggers the AutoMute system, the message text is included in the automated moderation notice posted to the server's staff log channel (a regular Discord channel), so staff can review the action — it is not copied anywhere outside Discord
Server configuration (stored per server):
Settings such as log channel IDs, configured rules, honeypot channel IDs, reaction role mappings, and feature toggles — linked to the Discord Guild ID
No personal user data is included in server configuration
We do not collect: email addresses, IP addresses, payment information, voice data,
direct message content (beyond automated DMs sent by the Bot to notify users of actions taken against them),
or any data outside of Discord.
3. Why We Collect This Data (Legal Basis)
Moderation logs — to keep a transparent, reviewable record of enforcement actions on our server, in the legitimate interest of community safety
RPG statistics — to power the opt-in RPG quest feature; data is only generated when you actively participate
Pruning records — to prevent ban evasion and enforce server rules
Real-time message scanning — to enforce server rules automatically; no content is retained in our database
4. Who Has Access to Your Data
Collected data is stored on our private server infrastructure and is accessible only to
authorised RPG Army staff members (admins and senior moderators) through a password-protected
internal web dashboard. We do not sell, share, or transfer your data to any third parties.
The Bot communicates with the Discord API (operated by Discord Inc.) as part of normal operation.
Discord's own Privacy Policy applies to
data processed on Discord's platform.
5. How Long We Keep Your Data
Moderation records — retained for as long as necessary to enforce server rules and review appeals; records for users who have not been active or involved in any incidents for more than 2 years may be deleted upon request
RPG statistics — retained as long as the feature is active; deleted upon request
Pruning records — retained until the associated ban is lifted or the record is no longer needed
Server configuration — retained until the Bot is removed from the server
6. Your Rights
You have the right to:
Access — request a summary of the data we hold about you
Correction — request that inaccurate data be corrected
Deletion — request deletion of your data, where not in conflict with an active moderation action
Objection — object to specific uses of your data

If you are located in the European Union, you may also have rights under the
General Data Protection Regulation (GDPR). You have the right to lodge a complaint
with a supervisory authority in your country of residence.
7. Data Security
All stored data is kept on a private server accessible only to authorised personnel.
Access to the moderation dashboard requires authentication. We take reasonable technical
and organisational measures to protect your data against unauthorised access or loss.
No system is 100% secure; if you become aware of a security issue, please notify us immediately
via discord.gg/qSeTFE2xzq.
8. Children
The Bot is not directed at children under the age of 13. We do not knowingly collect data from
users under 13. Discord's own Terms of Service require users to be at least 13 years old.
If you believe a minor's data has been collected, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this
page will reflect any changes. Continued use of the Bot after an update constitutes acceptance
of the revised policy. For significant changes, we will post an announcement in our Discord server.
